Team
Invite the people who work with you, choose what each one can open, and switch them off when they leave.
Who can open it: owner and admin only. In the menu it is called Team.
Invite a person
- Open Team.
- Under Invite a teammate, type their email. There is no location or branch to choose: whoever you invite works in the whole workspace.
- Tick a role: Admin, Manager, Field rep, Estimator, Production or Office. Other roles open nothing in the free version, so they are not offered.
- Select Send invitation.
The person gets an email with a link. The link works once and lasts 7 days. They open it and:
- If they have no account yet, they type their name, choose their own password, agree to the Terms and join your workspace. This does not create a new workspace.
- If they already have a JTF OS account, they sign in with the password they already have and your workspace is added to it.
You never see or choose anyone's password. Nothing is created until they accept.
After a person accepts, they sign in on the main sign-in page with their email and the password they chose, and land in your workspace. They can choose a new password later with Forgot your password? See Can't sign in?.
What to know:
- The invitation must be accepted by the address you typed. Capital letters do not matter. If the person is signed in as someone else when they open the link, they are told it is for a different account and asked to sign out first.
- Opening the link only shows a page. Some mail programs open every link in a message to scan it. That does not accept, spend or use up the invitation. Only the button on the page does.
- If the email could not be sent, the Team page says so and keeps the invitation. Select Resend to try again.
- An invitation carries the authority of the person who sent it. If that person is suspended, removed, or no longer an owner or admin (or no longer outranks the role on the invitation), their open invitations stop working and the invitee is told to ask again.
- A workspace can send 20 invitation emails a day, counting resends. This stops a workspace from being used to send mail to strangers.
- A person who is already on your team, even suspended, cannot be invited again. Reactivate them from the list instead.
Pending invitations
Under Pending invitations each open invitation shows who it is for, the role, who sent it and when it expires.
- Resend sends a new link and starts a fresh 7 days. The earlier link stops working at once. An invitation can be sent up to 10 times.
- Revoke cancels it. The link stops working and the seat is free again. You can invite the same person later.
- An invitation that passes 7 days shows Expired. It does not hold a seat. Resend it to give the person a new link.
Platform administrators can still add a person with a typed password. A workspace owner cannot: that form is not shown, and a direct post is refused.
Free seats
The free version has 5 seats, and you take one. The Team page shows where you are, for example 2 of 5 seats used, 1 invite pending: two people are active and a third seat is held by an invitation that has not been accepted.
- An open invitation holds a seat until it is accepted, revoked, or expires after 7 days.
- Inviting a person past the cap is refused, and the Team page shows the message. Nothing is sent.
- When the person accepts, the seat is checked again before they are added. Reactivating a suspended or removed person takes a seat too.
Roles and what they can open
| Role | Can open |

| owner | Everything, including Team and Money |
| admin | Everything except ownership |
| manager | CRM, Leads, Quotes, Documents, Schedule, Production, Field |
| rep | CRM, Leads, Quotes, Documents, Schedule, Field |
| estimator | CRM, Quotes, Documents |
| production | CRM, Documents, Schedule, Production |
| office | CRM, Leads, Quotes, Documents, Schedule, Production |
| partner, customer, subcontractor | None of the screens above |
Change, suspend or remove
- You can change a person's roles.
- Suspend switches them off. They are signed out everywhere right away.
- Remove also switches them off. It does not erase them. Their name stays on the history of what they did, so the record stays honest.
- Reactivate brings a suspended or removed person back.
Some rules cannot be broken:
- Nobody edits their own access here.
- Nobody can give a role higher than their own.
- The last active owner cannot be demoted, suspended or removed.
- Every change is written to a history.
