Privacy Policy
This policy explains what we collect when you use JTF OS, why we collect it, who sees it, how long we keep it, and what choices you have. We wrote it in plain English.
Last updated November 4, 2026. Version recorded when you create an account: terms-20261104-2af1c332
The short version
- We collect what we need to run JTF OS for you: your account details, the business information you enter, and basic security records.
- We do not sell personal information. We do not show ads. We do not use trackers or advertising cookies.
- The customer and job information you enter is yours. We handle it only to run the service for you.
- You can export your data, correct it and ask us to delete it, wherever you live in the United States.
- JTF OS is for adults who run a business. It is not for children under 13.
This summary is for convenience. The full text below is what counts.
1. Who we are
JTF OS is run by JTF Software Solutions, a brand of JTF Home Group LLC (Alabama). In this policy, "we" means that company. This policy covers JTF OS, including its sign-up, sign-in, workspace, e-signature and help pages. It is part of our Terms of Service.
We play two roles. For your own account details, we decide how the information is used. For the customer, lead, job and document information you put in your workspace, you decide what goes in and why, and we handle it only on your instructions. The Terms call that "Your Data".
If you are a contractor's customer, see "If you are a contractor's customer" below.
2. What we collect
- Account details. Your name, your email address, your password (we keep only a one-way scrambled version, never the password itself), your company name and your role. You may add more, like your trade and where you work.
- Your Data. What you and your team enter: customer and lead records (names, addresses, phone numbers and emails), jobs, quotes, schedules, crews, contracts and other documents, photos, notes, company details and your logo.
- Signer details. When someone signs a document through JTF OS: their name, their email address, the typed name they sign with, the time, and a digital fingerprint of the document.
- Sign-in and security records. A record of each sign-in session, with a device label, the time and a shortened network address (the last part of the IP address is removed). When a sign-in fails, we record why, the time, which account it was for (if the email matches one) and a shortened network address. When an action in your workspace is refused, for example because of a plan limit, or the service has an error, we record the kind of problem, the page and the time, never what you typed. At sign-up we keep a one-way scramble of your IP address to help stop abuse.
- Your agreements and choices. Which version of the Terms and this policy you agreed to and when, and whether you said yes to our optional upgrade and add-on messages, with the exact wording you saw.
- Support and admin records. If you turn on Support Access: when, for how long, and which pages we opened. We also keep a log of actions our staff take on accounts and workspaces, such as a suspension or a change of plan, and we may keep internal notes about your account.
- Usage counts. How many customers, jobs, quotes, photos, documents and teammates a workspace has, so we can apply the free plan limits and plan the service.
- Cookies. Small files that keep you signed in and keep forms safe. See "Cookies and similar tools" below.
We do not collect payment card or bank details. Payments are not part of the free plan.
3. How we use it
- To run your workspace: create your account, confirm your email, sign you in, and store and show what you enter.
- To send the emails the service needs: verification codes and links, password resets, team invitations, signing links, and notices about your account or these documents.
- To keep the service safe: stop abuse, look into sign-in failures and errors, fix problems, and enforce the limits and the Terms.
- To help you when you ask for support.
- To count usage and apply the free plan limits.
- To follow the law and answer valid legal requests.
- To tell our own team when a new workspace is created. We email them the details you gave when you signed up.
- To tell you about upgrades and add-ons, but only if you said yes. You can say no again at any time on your Account page.
We do not use Your Data for advertising, and we do not use it to train AI models.
6. How long we keep it
| What | How long |
|---|---|
| Account details and Your Data | While your account and workspace are open. |
| A closed workspace | We keep it, locked, until you ask us to reopen or delete it. |
| A deleted workspace | 30 days, so you can change your mind and ask us to restore it. After that we may delete it permanently. Export your data first: open Settings, then Export your data. |
| Failed sign-in and refused-action records | 90 days, then they are deleted automatically. |
| Sign-up requests | A sign-up link works for 30 minutes. We keep the record of the request (the email, the company name, a scrambled password and a scrambled IP address) until you ask us to delete it. |
| Records of what you agreed to | As long as we need proof of what you agreed to. |
| Our log of staff actions | Kept so we can show what was done to an account. It is not removed when a workspace is permanently deleted. |
| Backups | Copies kept by our providers for disaster recovery are overwritten on their normal cycle. |
We may keep information longer when the law requires it, or when we need it to settle a dispute or enforce our Terms.
7. Your choices and rights
These choices are for everyone, wherever you live in the United States. We treat a request from any state the way California-style privacy laws say to treat it.
- Know and get a copy. Ask what we hold about you. You can download your account details from your Account page, and owners and admins can export workspace records under Settings, Export your data.
- Correct. Fix your details in JTF OS, or ask us to.
- Delete. Ask us to delete your account or your workspace. We lock it right away and keep it for 30 days, so you can change your mind. After that we may delete it permanently, except for what we must keep (see "How long we keep it"). Please export your data first.
- Opt out of sale or sharing. We do not sell your information or share it for advertising, so there is nothing to opt out of.
- Limit sensitive information. We use your sign-in details only to provide and protect the service.
- Marketing. If you said yes to upgrade and add-on messages, you can say no on your Account page at any time.
- No payback. We will not treat you worse for using these rights.
How to ask. Use our contact page (opens in a new tab) and write "Privacy request" at the top. To protect you, we confirm it is you, usually by asking you to reply from the email on your account, or to sign in. You may use an authorized agent, and we may ask for proof that they act for you. We answer within 45 days. If we need more time, we tell you and take up to 45 more days. If we say no, we explain why, and you can ask us to look at it again.
If you are a contractor's customer. If a contractor put your information into JTF OS, they decide what is kept and why. Please ask them first. If you contact us, we will point you to them and help them answer you.
8. How we protect it
- JTF OS is served over encrypted connections.
- Passwords are stored only as one-way scrambled values.
- Each workspace's records are kept apart in the database, so one workspace cannot read another's.
- Signing links are single-use.
- The keys for AI connections are stored encrypted.
- The powerful tools our staff use are limited to named people, ask for a fresh password before a risky action, and log every action.
- Support Access is read-only, time-limited and logged.
No system is perfectly secure, and we cannot promise it. Use a strong password that you use nowhere else, and tell us right away if you think someone used your account. If a breach affects your information, we will tell you as the law requires.
9. Children
JTF OS is for adults who run or work for a business. It is not meant for children under 13, and we do not knowingly collect information from them. If you think a child under 13 gave us information, tell us through the contact page (opens in a new tab) and we will delete it.
10. Where your information is handled
We run JTF OS from the United States, and your information is handled by us and our service providers in the United States. If you use JTF OS from another country, you understand that your information goes to the United States.
11. Notice for California and other state residents
Some state privacy laws ask us to describe our practice in set categories. This is what we collected in the last 12 months, from you, from your team members and, for signers, from the sender:
| Category | Examples | Why we collect it | Who gets it |
|---|---|---|---|
| Identifiers | Name, email address, a shortened or scrambled IP address, account ID. | To run, secure and support the service. | Our service providers. |
| Customer and business records | Customers' and leads' contact details and addresses, jobs, quotes, documents. | To provide the service to the contractor. | Our service providers, and the contractor's team and customers. |
| Commercial information | Plan and usage counts. | To apply limits and plan the service. | Our service providers. |
| Internet and device activity | Sign-in sessions, a device label, failed sign-in records. | To keep accounts safe and fix problems. | Our service providers. |
| Photos and signatures | Job photos and typed signatures. | To provide the service to the contractor. | Our service providers, and the contractor. |
| Sign-in credentials (sensitive) | Your email with a scrambled password. | Only to provide and protect the service. | Not shared. |
We have not sold personal information, and we have not shared it for advertising across other companies' sites, in the last 12 months. We use sensitive personal information only to provide the service, so there is nothing to limit.
12. Changes to this policy
We may update this policy. The last updated date and a version number are at the top of the page. For an important change, we give at least 30 days' notice by email to the owner's address or inside JTF OS before it takes effect, as the Terms describe. When you create an account, we record which version you agreed to.
