Leads
The front door for new inquiries. Every lead is written down once, checked for doubles, and added to your sales pipeline.
Who can open it: owner, admin, manager, rep, office.
The leads list
The list shows each lead's name, source, status, contact and when it came in. Select a name to open the lead. Numbers used for support are kept in a small Reference numbers box on the lead's own page.
Log a lead
Use Log a lead at the bottom of the page when a call or message comes in.
| Box | Notes |
|---|---|
| Full name | Required |
| Email, Phone | You need at least one of the two |
| Source | Pick from the list. Sources under "Real leads" go to your pipeline. Sources under "Marketing only" are saved as marketing contacts and set aside. |
| Property address | Optional. Type the street, then the city and state or ZIP, and pick the suggestion that says "verified by the US Census". |
| Notes | Optional |
| Your own reference number | Optional. A number from another system. It helps spot doubles. |
If you type an address but do not pick a suggestion, the page does not save it quietly. It stops and says Pick the verified address, or save without one, with a button for each. Save without an address logs the lead with no address.
After you submit, the page tells you what happened:
| Message | What it means |
|---|---|
| Lead captured — added to your pipeline. | It is now on your pipeline board. |
| Duplicate — this matches a lead you already have. No new lead was created. | You already have this one. |
| Saved as a marketing contact, set aside — not added to your pipeline. | It came from a marketing-type source. It is kept, but it is not a sales lead. |
| Submission blocked as likely spam. It was kept on record and no lead was created. | Looks like spam. The text is kept. No lead was made. |
A form for your website
There is a public "Request a free estimate" form for a homeowner to fill in: name, email or phone, what they need, and a consent box. It is meant to be linked from your own website.
The Leads page shows the link at the top, as Public capture form. Copy it from there and give it to your web designer to use as a button or link on your site. A visitor who fills it in and ticks the consent box sees "Thank you! Your request is in." The request then shows on your Leads page with the source "Web form", and as a new lead in the Leads list on the Customers pages.
The form cannot be shown inside a frame on another website: the page tells the browser to refuse that. Link to it; do not embed it.
