Schedule
Crews and appointments on one weekly calendar.
Who can open it: owner, admin, manager, rep, production, office.
Before you start
- Add at least one crew first. The page says: "Add a crew first — appointments need a crew."
- Every appointment is for a job. If you have none, the page says: "There are no jobs to schedule yet. Add a customer job first; an appointment is always for a job."
A new workspace has no location and no crew, so the board starts with "No locations set up yet. Name your first location and crew below to open the board." Type a location name, a crew name and what they do, and select Add crew: the page says Crew "Crew A" added. and the form to schedule opens.
The Job list then offers the projects you made on the Customers pages, each as the customer's name, the address and the job number. After a job is scheduled the week board shows it in the crew's row, with the time, the status "proposed", what the crew does and the job number.
Put an appointment on the calendar
Pick the crew, pick the job, pick the type of visit, set the start and end, add a note if you like, and select Schedule appointment. If the crew is already booked at that time, nothing is saved and the page says so.
Check the time zone. The start and end boxes name the time zone they use (your workspace's own; America/Chicago unless it was set to another). Every time on the board uses the same zone.
Change an appointment
- Confirm appointment when the customer has agreed.
- Reschedule and Cancel appointment work directly, unless the appointment is confirmed and weather-flagged (next point).
- A confirmed appointment that is weather-flagged cannot be moved or cancelled by one person. Someone uses Request reschedule approval or Request cancellation approval, and a manager approves or denies. The system never moves it on its own.
- Re-assess weather runs the weather check again.
An appointment's page has a Weather gate box and an Assessment history. Weather checks use storm reports, which are a premium service, so in a free workspace both say there is no weather information on file. The Confirm appointment, Reschedule and Cancel appointment buttons worked directly on an appointment with no weather flag.
Calendar sync
Appointments are not copied to Google Calendar or any other calendar in the free version.
